Dear PhD student and supervisor,
As of 1 October 2011, the two PhD schools Graduate School of Agriculture, Food and Environment (SAFE) and Aarhus Graduate School of Science (AGSoS) have merged and become one. The name of the new PhD school is *Graduate School of Science and Technology (GSST)*. From 1 October 2011, all PhD students enrolled at either SAFE or AGSoS will therefore become part of the new PhD school and enrolled here.
At the same time, as part of the Aarhus University restructuring process, new departments and new PhD programmes have been formed. For some PhD students this will influence their affiliation as they might be enrolled at a new department and/or programme. You will later receive information stating your precise affiliation. These organisational changes will not affect your PhD study. Please note that the programmes used to be called fields at AGSoS, and that this has also been renamed.
The administrative support office of the Graduate School of Science and Technology is located at Aarhus University, Ny Munkegade 120, building 1521, rooms 110-114a. We handle matters for instance in connection with your enrolment and employment, study related matters such as extensions, maternity/paternity leave, other leave, courses, the qualifying examination and the defence, etc.
The head of the new PhD school is Professor Jes Madsen, and the vice-head is Senior researcher Elise Norberg.
Each PhD programme is affiliated with a PhD administrator in the GSST support office:

Certain matters are handled locally at department level, e.g.
registration of sick days and holidays, booking a venue in connection with your qualifying exam or your PhD defence, getting a computer or getting an office space, so for help in these matters you should contact your department.

Finally, please be aware that a new online portfolio system called PhD planner is currently being developed. In here, you are to fill in details e.g. on your PhD plan, your half-year evaluations, courses, stays abroad, publications, etc. Some of you have already started using the system, namely PhD students who have applied for the November 2010 Call or later at AGSoS, but PhD students enrolled before that date at AGSoS – who are currently using the FUA-system – as well as all PhD students from SAFE will be transferred to the new PhD planner system during the next couple of months. You will later receive more information on the new online portfolio system.
